The May update includes a couple of improvements to the way in which tenancies are managed.

Tenancy Guarantor Information

It is now possible to record details of the guarantor for a tenancy. The following screenshot shows the new tab for the tenancy dialog:

Tenancy Contact Information on Tenancy Balance

The Tenancy Balance page has been extended to display contact information for the tenancy – email address, telephone number, mobile number. This makes it much easier to access this information when it’s necessary to contact the tenant with any queries. The following screenshot shows the new fields on the page:

Easier viewing of tabular data

In order to make it easier to view tabular information, all tables now allow you to control the number of rows displayed. In addition, when you change the number of rows for a table, the system will remember your choice the next time you return to the same page.

News – February 2013

The February update includes a new report for providing cashflow forecasts.

Cashflow Forecast Report

The web site now includes a new report which provides a forecast of transactions for a portfolio or property unit over a specified future period in time. The report calculates future transactions based upon open tenancies and recurring expenditure that match the report criteria. The resulting forecast is displayed as a list of transactions along with a running balance, which automatically adjusts if you override the starting balance for the report.

News – January 2013

We start the new year with a bunch of changes to speed up responsiveness.

Performance Improvements

As the web site has become more popular, we’ve noticed that responsiveness at peak times has not been as good as we like to see. Hence, we have made a substantial number of changes to the web site to make pages load more quickly and to speed up page updates. In particular, loading key pages of the web site, such as the home page, tenancy balance page, property account page, should now be significantly faster.

The following chart shows the average response time improvements from our tests.

Email Statements to Tenant and Landlords

Last month we added the ability to export tenancy balances to PDF. This month we have extended that capability so you can now easily email a PDF tenancy balance to a tenant directly from the web site and also, to email statements to landlords.

UI Tweaks

A number of changes have been made to make the web site look nicer:

  • Support for new browser versions (including Internet Explorer 10).
  • Cleanup some glitches when displaying on mobile devices.
  • Make it easier to see when the web site is busy.
  • Improve the layout on printable pages.

News – October 2012

The main news this month is the addition of a widely requested enhancement to our popular tenancy balance feature, plus a couple of additional improvements.

Export Tenancy Balances to PDF

The Tenancy Balance page has been extended to allow exporting to Adobe PDF format. This now means you can export tenancy balances to Excel, Adobe PDF or Microsoft Word formats, as well as print them directly from the web site. The following screenshot shows the new link on the tenancy balance page.

Smarter Date Entry

We’ve made entry of date information smarter so it recognizes a broader range of formats. For example, all the following are equivalent:

Upload of Multiple Attachments

The attachment upload dialog now makes it easier to upload multiple attachments in one go. For example, on Windows, simply select multiple files from Windows Explorer and drag them together onto the attachment upload dialog as shown in the following screenshot:

For this month’s update we have one operational notice and details of a couple of recent enhancements that have been made to the site.

Web Site Maintenance Friday 21st September

The web site will be unavailable from 9.45pm on Friday 21st September through to 1.00am on Saturday 22nd September in order to allow for scheduled maintenance at the data center.

Product Features

VAT Support goes beta

As part of continued improvements for our larger landlords and letting agents, we have made available an initial set of features to support VAT registered traders/companies. This includes:

  • Ability to record the VAT element on income and expenditure records.
  • Ability to automatically apply VAT to management fees.
  • An enhanced statement to show VAT details.

This feature is being made to a limited set of customers for testing during the beta period. If you are interested in getting involved then please contact support.

Improved search capabilities on several web pages

It is now possible to easily filter rows on a number of web pages – for example:

  • Tenancies page: Filter by Property Unit, Tenant Name(s) and Account No.
  • Property Account page: Filter the list of expenditure by Trans No., Property Unit, Supplier, Category
  • Landlords page: Filter by Name, Address.
  • Statement page: Filter by Trans No., Property Unit, Summary.
  • Tax Worksheet: Filter income transactions by Trans No., Property Unit, Tenant Name(s), Charge Name.
  • Tax Worksheet: Filter expenditure transactions by Trans No., Property Unit, Supplier, Tax Category.

The following screenshot shows the new filter fields on the Tenancies page:

Smarter Page Layout Customizations

The system now allows you to personalize a number of aspects of the system so you can focus more on the information that’s relevant to you. There are three aspects to this:

  • The ability to show or hide the Actions menu
  • The ability to collapse or expand the panels on the home dashboard

These personalizations are sticky – i.e. the system will remember your choices the next time you return to the site.

  • Ability to sort columns on the Recurring Expenditure page

News – July 2012

This month’s update includes a number of new features requested by our users:

Ability to control the session timeout

You can now control how long you can leave the browser window idle before the session times out. This can be controlled through a new Preferences dialog accessible from your settings, as shown in the following screenshot:

Improved Export to Excel

Export to Excel has been redesigned to now create native Excel export files, which fixes a number of reliability issues with more modern version of Excel and also with Mac OS.

Keyboard shortcuts

A number of keyboard shortcuts have been added for common actions as shown in the following table:

Shortcut Command
CTRL+SHIFT+E Launches the Create Expenditure dialog. Applicable in all pages where there is a Create Expenditure link.
CTRL+SHIFT+I Launches the Create Income dialog. Applicable in all pages where there is a Create Income link.
CTRL+SHIFT+S Saves the currently open dialog. Applicable whenever there is a dialog window open.
CTRL+SHIFT+X Cancels the currently open dialog. Applicable whenever there is a dialog window open.

Additional improvements

A number of other improvements have been made.

  • Added a new property type for Bungalow
  • Improved the UI, in particular for IE. This includes:
    • Fixed a problem with attachments not working in Internet Explorer
    • Improved the ability to resize, drag and drop dialogs on Internet Explorer
  • Various background tasks have been substantially optimized. This should improve the performance of a number of web pages.

News – May 2012

This month’s update includes a number of improvements to the reporting capabilities as well as additional new features requested by our users:

Detailed Transaction Report

A new report has been added to allow reporting and export of detailed transaction information. It can be found from the reports menu as shown in the following screenshot:

The report supports selection of transactions by property unit and date period and will show all available details for the transactions in question as shown in the following sample:

Expenditure Analysis by Supplier

The Expenditure Analysis report has been expanded to allow filtering by supplier. The following screenshot shows the new parameter at the top of the screen:

In addition, the report now shows a breakdown by property unit, which helps visualize how a supplier’s expenditure has been distributed across your portfolio, e.g.

Making it easier to find Tenancy records

On the Tenancies page, there are now a number of different mechanisms to make it easier to find the record you’re looking for:

  • You can use the drop-down list above the list of tenancies to filter the list by a property unit.
  • You can use the text box in the Tenant Name column heading – this will find all tenants that have a name containing the typed in characters.
  • You can click on column headings to sort the list by that column.

Ability to record landlord details

You can now record details of multiple landlords and which properties or portfolios belong to each landlord. This addition is targeted at a number of our clients who are letting agents or simply manage property on behalf of other landlords.

You can record the following details for each landlord:

  • Name and address of the landlord.
  • Contact details.
  • Bank account details.

You will now see a new link in the main menu bar as shown in the following screenshot:

Clicking this will display the list of landlords recorded in your system.

When creating or editing portfolios or property units, you can set the owning landlord on the management tab as shown in the following screenshot:

New – Ability to set a default expenditure category for each supplier.

You can now set the default expenditure category for each supplier. This will then be automatically selected when expenditure is recorded against the supplier. The following screenshot shows the new information that can be recorded against a supplier, including the default expenditure category:
